HiMama: Parent Waitlist Intake


Developed a parent waitlist intake feature to help speed up the registration process, keep directors organized and help them fill the spots in their daycare centers.

Context
HiMama, an all-in-one daycare app, aimed to enhance the online registration and waitlist experience by introducing a hands-off prospective waitlist intake feature. The objective was to increase adoption and streamline the overall user experience.

The Problem
Manual collection of prospect intake forms and data entry in the daycare app is time-consuming.

  • directors lack the time to engage with prospects to kick off the registration and waitlist process
  • process of waitlist management is often disorganized and unstructured
  • a lot of time is spent manually facilitating waitlists

The Goal
Provide directors with an efficient, time-saving solution for collecting prospect intake information.

  • give directors a less hands-on way to collect intake forms
  • allow directors to take internal facing notes to help with prioritization
  • streamline the transition from applications to registrations

The Research

Competitive research
  • created a feature comparison matrix to see how HiMama stacked up against it’s competitors

  • compiled examples of waitlist intake forms to determine what standard information should be collected

  • conducted internal interviews with ex directors to learn more about the waitlist intake process and the expectations of parents

Key findings
  • parents expect an online application process
  • competitors offer shareable link functionality, requested by directors
  • waitlists are prioritized by date, age and if they have a sibling at the center
  • directors seek the ability to capture internal notes and desire a streamlined registration process

  • collaborated with the Product Manager and Engineers to develop a set of workflows and wireframes to align on what to build
  • each discipline – Design, Product Management, Engineering – contributing their expertise to meet business, user and technical requirements

  • developed a set of mocks using HiMama’s visual design system and the workflows and wireframes
  • collaborated with the lead engineer on the final specs
  • shared the finalized designs with the team, along with the specs
  • performed around a round of QA to ensure the build matched the designs

The Impact
  • delivered a centralized digital waitlist intake process that directors were very satisfied with
  • saved directors 10+ hours per week by replacing manual workflows with a digital system
  • increased usage of the Registration and Waitlist feature by 8% through a shareable intake link, raising overall adoption to 38% within 2 months
